The purpose of this classification is to provide responsible clerical support to an assigned County court.

 

ESSENTIAL FUNCTIONS

 

The following duties are normal for this position.  The omission of specific statements of the duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification.  Other duties may be required and assigned.

Receives and date stamps court related and/or legal documents such as police reports, motions, citations, civil answers, garnishment answers, blood test results, traffic citations, accident reports and/or docket reports; reviews, verifies, and/or records required information and prepares documents for processing.

 

Enters legal information into department databases and automated files, including; citations, tickets, garnishments, civil cases, warrants, real estate deeds, liens, and other information into department databases; updates database information; creates new spreadsheets/files; and purges old data as appropriate.

 

Prepares legal documents, adhering to established formats; copies and distributes to appropriate parties; maintains copies in department files; and notarizes legal documents.

 

Prepares correspondence and informational materials such as jury duty mailings, court calendars, and court notices,

 

Receives telephone calls and walk-in customers, visitors, attorneys, defendants, and the general public; provides information and assistance; explains procedures; provides copies of legal document such as birth certificates, warrants and/or civil cases; researches information regarding cases, legal proceedings and status; and refers difficult questions and complaints to appropriate staff member.

 

Receives and processes payments for fees, fines, bonds, warrants or other court/legal fees, including real estate, civil, criminal and copy fees; records payment; updates databases to reflect payment; issues receipts; and prepares monies for deposit.

 

Receives and processes applications for court-controlled licenses or permits, including firearms permits and marriage licenses; receives and processes applications for court warrants, good behavior warrants, bad checks, and civil cases; collects application fees; records payment; issues permit or license; prepares related records; and notarizes payments, permits and other documents as appropriate.

 

For court cases, prepares case files; posts cases for court dockets; prepares case files; ensures judge has appropriate case information for hearing; files disposition documents; prepares files for transfers; and maintains files.

 

Distributes legal documents such as court rulings, continuances, subpoenas, dispositions, Sheriff’s entry of services, real estate deeds and plats, warrants and other legal records; types letters, summaries and correspondence; prepares folders; maintains department files; photocopies documents and distributes and/or files;

 

Establishes and maintains court files and official legal records; and requests information from other departments as necessary to complete department records/files.

 

Orders office supplies as requested; and receives, stores, and delivers documents, office supplies, and records.

 

Operates a personal computer, telephones, copiers and other general office equipment as necessary to complete essential functions, to include the use of word processing, spreadsheet, database, or other system software.

 

ADDITIONAL FUNCTIONS

Performs other related duties as required.

MINIMUM QUALIFICATIONS

High school diploma or GED; supplemented by up to two (2) years of  previous clerical experience;  or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.
