Manages all department case files; compiles and prepares files on defendants throughout the life cycle of each case, from warrant through plea or trial and sentencing; compiles and summarizes case data from arrest warrants, police reports, crime lab reports and criminal histories; and files crime lab reports, appeals and other documents in case files.

 

Prepares the criminal court calendar for all court sessions; schedules cases for the jury calendar; notifies defendants, attorneys, and bond company personnel of court dates.

 

Types indictments and accusations to prepare for presentation to the grand jury or arraignment hearings.

 

Prepares a wide variety of legal documents including grand jury and trial subpoenas, subpoenas for documentary evidence, witness subpoenas, indictments, accusations, court orders, bench warrants, grand jury presentments, briefs and extradition papers; compose and type a variety of reports, memorandum and correspondence.

 

Assists staff attorneys and investigators with conducting research, posting warrants and other duties involved in the preparation of criminal cases for prosecution; coordinates case preparation work with witnesses, law enforcement officers and other legal authorities; subpoenas pertinent court records; attends court; assists with organizing files and calendar call; enters pleas or case disposition in case file and on court calendars.

 

Locates defendants housed in the prison system and arranges for their appearance in court.

 

Provides assistance to victims and witnesses; provides information regarding case status, progress, and disposition; informs victims and witnesses of scheduled court dates, and of the arrest status, bail, bond and pre-trial release of defendants; refers victims/witnesses to law enforcement agencies or other legal personnel as appropriate; and coordinates appointments and court appearances for victims and witnesses.

 

Answers Department telephones; greets customers and visitors; provides assistance, requested documents and information regarding department services and procedures; refers callers to other staff members as appropriate; and takes messages. 

 

Prepares folders; maintains files of department correspondence, program records, legal documents, and other documents; photocopies documents and distributes and/or files; and requests information from other departments as necessary to complete department records/files.

 

Orders office supplies, forms and other materials as needed; and receives, stores, and delivers documents, office supplies.

 

Operates a personal computer, telephones, copiers and other general office equipment as necessary to complete essential functions, to include the use of word processing, spreadsheet, database, or other system software.

ADDITIONAL FUNCTIONS

Performs other related duties as required.

MINIMUM QUALIFICATIONS

High school diploma or GED with additional course work in legal secretarial studies or a related field; supplemented by minimum of three (3) years previous clerical and secretarial experience in a legal environment;  or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.  Requires a Notary Public Certificate.
