The purpose of this classification is to provide assistance and information to victims and witnesses of crime concerning cases being prosecuted by the District Attorney's office; and to provide general secretarial and clerical support to the department staff as needed.

ESSENTIAL FUNCTIONS:

The following duties are normal for this position. The omission of specific statements of the duties does not exclude them from the classification if the work is similar, related, or a logical assignment for the classification. Other duties may be required and assigned.

This is a full-time position (40 hours) in the Victim Witness and District Attorney's Office.

Must be a team worker. This position is responsible for, but is not limited to: interacting with the public, answering telephones with a pleasant and professional demeanor, directing calls to appropriate staff and taking messages, greeting customers and visitors in a pleasant and professional manner; receiving new case files into office, entering cases into case management system, creating file folders and labels, scanning documents, copying and uploading information into the case management system, legal research, maintaining department databases, automated files and computer records; typing letters, legal documents, forms, correspondence, purchase orders, requisitions, and a variety of reports including operational and program related, financial and/or budget reports; collects, researches and/or compiles information for inclusion in reports, charts, forms and other documents; maintains files of department correspondence, program records, legal documents, and other documents; performs case management work. Receives, dates and distributes incoming mail; and prepares outgoing mail. Helps to manage closed case files, including boxing and moving to archives.

This position interacts and works directly with the public, law enforcement, and with victims and witnesses of crimes. Provides victims with information regarding rights and responsibilities; explains legal procedures and general information about the criminal justice process to the public and victims and witnesses, and keeps victims and witnesses updated throughout the criminal justice process. This position also deals with law enforcement, persons charged with criminal offenses and their attorneys on a regular basis and must carry on such interaction in a professional and pleasant manner and must exercise extreme confidentiality with any information coming in and out of this office.

Operates a personal computer and general office equipment as necessary to complete essential functions of the job to include telephone, word processing, spreadsheet, database, and other system software.

ADDITIONAL FUNCTIONS

Performs other related duties as required.

MINIMUM QUALIFICATIONS: High school diploma or GED; supplemented by up to two (2) years previous word processing, telephone reception, filing or related victim advocate, clerical and legal experience; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job. LEGAL BACKGROUND IS PREFERRED, and must be able to exercise extreme confidentiality.

Includes exercising discretion in determining data classification, and in referencing such analysis to established standards for the purpose of recognizing actual or probable interactive effects and relationships.

Equipment, Machinery, Tools, and Materials Utilization: Requires the ability to operate, maneuver and/or control the actions of equipment, machinery, tools, and/or materials used in performing essential functions.

Verbal Aptitude: Requires the ability to utilize a wide variety of reference, descriptive, advisory and/or design data and information professionally and courteously.

Mathematical Aptitude: Requires the ability to perform addition, subtraction, multiplication and division; ability to calculate decimals and percentages; may include ability to perform mathematical operations with fractions; may include ability to compute interest, ratio and proportion.

Functional Reasoning: Requires the ability to apply principles of rational systems. Ability to interpret instructions furnished in written, oral, diagrammatic, or schedule form. Ability to exercise independent judgment to apply facts and principles for developing approaches and techniques to problem resolution.

Situational Reasoning: Requires the ability to exercise judgment, decisiveness and creativity required in situations involving the evaluation of information against sensory, judgmental, or subjective criteria, as opposed to that which is clearly measurable or verifiable.

ADA COMPLIANCE

Physical Ability: Tasks involve the ability to exert light physical effort in sedentary to light work, but which will involve some lifting, carrying, pushing and/or pulling of objects and materials of light to medium heavy weight 5-50 pounds. Tasks may involve extended periods of time at a keyboard or work station as well as standing, stooping, lifting and carrying files or boxes.

Sensory Requirements: Some tasks require the ability to perceive and discriminate sounds and visual cues or signals. Some tasks require the ability to communicate orally.

Environmental Factors: Tasks are regularly performed without exposure to adverse environmental conditions.
