Job Announcement:

SUMMARY
This Position keeps all calendars and records for the EMA department. This position is responsible for answering public inquiries, responding to phone calls and emails, researching, and providing information, and all other duties as required.

MAJOR DUTIES
The following duties are representative of the work required for this job. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
- Answers phones, greets customers/visitors, refers visitors to appropriate members.
- Manages and maintains all records, files, and documents.
- Assists with budgeting, research, purchase orders and other administrative duties.
- Responsible for reviewing job applications and scheduling interviews and compiling references.
- Entering Payroll data.
- Reporting and submitting data to WEB EOC and EMA sites.
- Assists with researching, writing, and managing grants as needed.
- Cleans and maintains office spaces.
KNOWLEDGE, SKILLS & ABILITIES
The Administrative Assistant must be knowledgeable of the following principles, procedures, and concepts:
- Knowledge of EMA rules and regulations.
- Knowledge of Peach County purchasing policies.
- Ability to establish and maintain effective working relationships with supervisors, associates, and the general public.
- Ability to communicate orally and in writing with a variety of individuals.
- Knowledge of basic computer programs such as word processing, spreadsheets, email, etc.
- Knowledge of basic office equipment including computer, copier, scanner, fax machine, calculator, and typewriter.
- Ability to provide excellent customer service to the public.
TRAINING &/OR EXPERIENCE NEEDED
High school diploma or GED supplemented by at least two years of previous experience with word processing, telephone reception, filing or related clerical duties or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.
NECESSARY SPECIAL REQUIREMENTS
- Possession of a valid Georgia Motor Vehicle Operator’s license.

LANGUAGE SKILLS
Ability to read and understand written materials. Ability to effectively communicate information to supervisors, coworkers, and the general public.
MATHEMATICAL SKILLS
Ability to work with basic mathematical concepts such as addition, subtraction, multiplication, and division.
COMMUNICATION SKILLS
Must be able to effectively communicate orally and in written form in a professional manner in order to give or exchange information, resolve problems, and/or provide service. In addition, this position requires extensive contact with other employees, the general public, and public officials, often involving problem-solving circumstances.
REASONING ABILITY
Ability to interpret and understand a variety of forms, reports, manuals, regulations, and other means of instruction and guidance.
PHYSICAL DEMANDS
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This position requires light-to-medium demands with intermittent sitting, standing, stooping, walking, computer use, use of tools or equipment requiring a high level of dexterity, and occasional lifting of medium weight objects.
